RPA bots are now like non-human employees in our organizations – they access systems, handle data, and automate tasks around the clock. It means they need their own identities, just as real employees do. In other words, every bot must be treated as a unique, auditable user with carefully controlled permissions. In this post, we’ll explain how to build a secure architecture around RPA, focusing on identity, access control, and audit trails – all in clear, everyday terms.

Treat Bots Like Employees: Unique Identities

Imagine each bot as a staff member with its own ID badge. In practice, this means each bot gets a unique digital identity and credentials. We never share a single login among multiple bots, nor do we reuse human accounts for bots. Assigning distinct identities ensures we can track exactly which bot did what, and quickly revoke access if needed.

This approach makes rotating passwords easy, too. The vault can automatically change a bot’s password on a schedule (weekly or monthly) without anyone having to update the bot’s code. If a password is ever compromised, we update it in the vault, and all bots instantly use the new one.

In short, secure vaults are the “one place” for all bot credentials, keeping secrets safe with strong encryption. It is much more secure than hard-coding credentials into scripts, which attackers might stumble upon.

Access Control: Least Privilege & RBAC

Once bots have identities and secure secrets, we control what they can do. The golden rule is the principle of least privilege: a bot should have only the access it absolutely needs. For humans, this might mean only granting help-desk staff the rights to use troubleshooting tools, not full system control. For bots, it means assigning them just the specific database tables or application functions they need.

We enforce least privilege through Role-Based Access Control (RBAC). It means we create roles like “Invoice Processor Bot” or “HR Onboarding Bot,” and grant each role only the specific permissions it needs. Each bot’s account is then put into the appropriate role.

Put simply, humans have badges and PINs, and bots have secret keys. We still make bot keys strong (long certificates, frequent rotation) and control where they’re used, but we don’t try to send a security code to a robot. Audit Logging: Recording the Unseen

To maintain visibility, everything a bot does should be logged. Think of this like a captain’s logbook for each ship in a fleet: every action, timestamp, and outcome is recorded. Key items to log include:

Importantly, protecting the logs themselves is vital. Audit logs are evidence, so we store them in a tamper-proof way. It might mean writing them to WORM (“write once, read many”) media or encrypting them and strictly controlling access.

Continuous Monitoring and Incident Response

Security isn’t “set and forget.” Just as we continually patrol a guarded estate, we keep a close eye on our bots. It means ongoing monitoring of bot activity and system health.

Automated alerts can notify us of unusual bot behavior (e.g., a bot running a week later than scheduled or accessing a new system it has never used before). Regular dashboards and audits ensure everything stays within expected bounds.

Despite our best precautions, incidents can happen (a bot account might be hijacked, or a new vulnerability might appear). That’s why we must have an Incident Response (IR) plan for RPA. This plan spells out exactly what to do if something goes wrong.
